Reservation and Cancellation Policy

  1. Reservation Request
    To make a reservation, a written reservation request must be sent via e-mail to or by fax to (506) 2645-7362. Name, number of people, type of accommodation, special needs, date and time of arrival and departure, on-site or off-site activities desired, and ground transportation or other logistical arrangements must be included in this request.

  2. Confirmation Policy and Deposits

    • To confirm a reservation, a 10% deposit of the total quoted cost is required.

    • To maintain the reservation, a second deposit of 30% of the total quoted cost is required and must be received no later than 90 days prior to the specified arrival date.

    • The balance of the total quoted cost must be received no later than 30 days prior to the arrival date.

    • Failure to make payment according to this timeline may result in the cancellation of the Client’s reservation.

      Payment must be made via wire transfer unless other, previous arrangements have been made with the UGA Costa Rica administration. A deposit via wire transfer can be made to UGA Costa Rica’s US$ checking account from any bank. Please note that some banks will charge a commission in order to make wire transfers. The client must pay that commission directly to the bank when making the transaction.

      An email must be sent to confirming the execution of the transaction.

      Please note that there is a service charge of US $40 for wire transfers, regardless of the amount being transferred. This amount will be added to the Client’s invoice.

  3. Cancellation Policy

    • The deposit is only refundable if the cancellation is made 90 days or more prior to arrival date.

    • If the Client cancels the reservation between 89 and 31 days prior to arrival date, UGA Costa Rica will refund up to 65% of the amount previously deposited.

    • If the Client cancels the reservation between 30 and 15 days prior to arrival date, UGA Costa Rica will refund up to 50% of the amount previously deposited.

    • If the Client cancels the reservation within the last 14 days prior to arrival date, UGA Costa Rica will not refund any amount.

Notes: 
Payments made to other service providers for reservations on behalf of the Client will be refunded according to the cancellation policies of the other providers, and will apply according to each specific case.  UGA Costa Rica will send a lump-sum refund to the Client following receipt of all refunds provided by third party providers. Any bank fees charged to make refunds to the Client due to cancellations or adjustments will be deducted from the total refundable amount.
